Who we are

This notice is from WorkAid’s Philippine company, which employs our team.

That company decides how your application is used, and is responsible for it under the Data Privacy Act of 2012.

For anything about your information, including your rights below, email us at hello@workaid.io.

What we collect

From your application

  • the job you choose
  • your first name and surname
  • your email address and mobile number
  • your city or province
  • how long you’ve worked with Australian clients, and the software you’ve used
  • your answers about the hours, your space and internet at home, and when you could start
  • your CV, and the name of your CV file
  • your video introduction, and how long it is
  • anything you write in “Anything you’d like us to know?”
  • how you heard about us, if you tell us
  • that you agreed to this notice, which version it was, and when

Your CV may hold more than the form asks for. Send only what you’re happy for us to read.

Your video goes straight from your browser to the storage service that keeps applications for us (see “Who sees it”). Say only what you’re happy for us to hear.

When you apply, we don’t ask for government numbers (TIN, SSS, PhilHealth or Pag-IBIG), bank details, your age or date of birth, photos, or your birth certificate. If your CV includes any of them, you’re welcome to leave them out.

From the online assessment

After you apply, we email you a link to a short online assessment: a behaviour profile and an accounting skills test. If you take it, we keep:

  • your answer to each question, how many seconds you took, and whether a question ran out of time
  • these events on the assessment page, with when they happened: switching to another tab, window or app (and how long you were away), when the page loses focus, going into and leaving full screen, copying, cutting, pasting or right-clicking, and reloading or closing the page
  • your DISC behaviour profile, your accounting scores, and a written summary of both for our recruitment team, worked out from your answers

We don’t use your camera or microphone, and nothing records your screen during the assessment. The page tells you what it records before you start.

Where you came from

  • the first page you opened on this site, the name of the website that sent you there (just its name, never the full address), and any campaign tags on the link, such as a job board’s

Your browser keeps these for the tab you’re in, and forgets them when you close it. They’re sent to us only if you apply, with your application. They tell us which ads and posts bring people here.

While you fill in the form, your browser also keeps a draft of your answers for that tab, so reloading the page doesn’t lose them. It never includes your CV, and it’s cleared when your application is sent.

From your visit

  • Like any website, our servers receive basic technical details, such as your IP address and browser type, so they can send you the pages.
  • When you send an application, our servers count how many arrive from your connection over 15 minutes, so nobody can flood the form. The assessment page’s requests are counted the same way, over 15 minutes, so nobody can flood it either.
  • With your application we keep your IP address only in a coded form made with a secret key, used only to spot repeated submissions. We don’t store the address itself.
  • This site has no analytics, no advertising pixels and no tracking cookies.

Why we use it, and on what basis

We use your application to

  • consider you for the job you chose, and for other jobs at WorkAid that open in the 12 months after you apply
  • contact you about your application, including emailing you the link to your online assessment
  • keep a record of your consent, and of any request you make about your details

The basis, and what we don’t do

  • We rely on your consent, which you give with the tick box when you apply. You can withdraw it at any time (see “Your rights”).
  • We don’t use your application for marketing.
  • No decision about you is made by software alone. A person reads every application.
  • Your assessment is scored automatically, and a person on our recruitment team reviews every result. The scores inform a conversation: no result rejects anyone automatically, and the behaviour profile is not pass or fail.

Who sees it

  • Inside WorkAid: WorkAid’s own staff. Never a client. Your assessment results are read only by WorkAid’s recruitment and quality team.
  • Outside WorkAid: the services that host this website and store applications for us. Vercel runs this site, the form you send and the assessment page, and Supabase stores applications, CVs, videos and assessment results. They handle your details only on our instructions.
  • Email: Google Workspace sends our emails, including the link to your online assessment, so Google handles your email address and name when we write to you.
  • Fonts: this site’s fonts come from Google Fonts, so your browser asks Google’s servers for them. Like any website, Google receives your IP address when it does. Nothing you type is sent to Google.
  • Never: we don’t sell your details, publish them, or share them with advertisers.
  • The law: we’d share them with anyone else only if the law required it.

Where it’s kept

  • Applications, CVs, videos and assessment results are stored with Supabase, in Sydney, Australia. The part of this site that receives them runs on Vercel, in Sydney too. That means your details leave the Philippines.
  • We stay responsible for protecting them under the Data Privacy Act, wherever they’re stored.

How long we keep it

  • Twelve months from the day you apply. Then we delete it, with your video introduction and your assessment.
  • Two exceptions:
    • If you apply again, the 12 months start again from your new application.
    • If you’re hired, your application becomes part of your employment records.
  • You can ask us to delete it sooner. Withdrawing your consent ends your application.

Your rights

Under the Philippines’ Data Privacy Act of 2012, you have the right to:

  • be told how your details are used (this notice)
  • see the details we hold about you
  • have anything wrong or out of date corrected
  • have your details deleted or blocked, for example if they’re no longer needed or were collected unlawfully
  • object to how we use them, or withdraw your consent
  • get a copy in a common electronic format, to take elsewhere
  • claim compensation if you’re harmed because your details were inaccurate, incomplete, outdated, false, unlawfully obtained or used without authority
  • complain to the National Privacy Commission

How to use them

  • Email hello@workaid.io from the address you applied with. Say what you’d like us to do, and include your reference if you have it.
  • We may ask you to confirm it’s you before we act, so nobody else can see or change your details.
  • If you’re not happy with our answer, you can complain to the National Privacy Commission at privacy.gov.ph.

Changes to this notice

If we change this notice, the version date at the top changes with it.
